Who we are
ButterSync LLC builds and runs automated outbound engines for Executive Search firms. When you hire us, we work inside accounts you own: your CRM, data tools, sending domains, inboxes and LinkedIn profiles.
For the data in those tools we act as a processor: you decide what gets collected, we handle it on your instructions. For our own marketing site and client dashboard we are the controller.
What we collect
Three buckets, nothing else.
Prospect data
Outbound means processing business contact data about people at your target accounts: name, role, work email, company, and public signals such as a funding round or job post. We source it from licensed data providers and public sources, use it only for your campaigns, and never pool it across clients.
Every message carries a way to opt out. Opt-outs are honored within one business day and suppressed across all of your campaigns. For prospects in the EEA or UK we rely on legitimate interest and keep a record of the assessment.
How we use it
To run the campaigns you asked for, to report on what they booked, to bill you, and to warn you when something breaks. That is the whole list.
We do not sell data, rent lists, or build cross-client profiles. Nothing from your account is used to train a general-purpose model.
Who else touches it
Only sub-processors a campaign genuinely needs: your own connected tools, the data providers that enrich your lists, an LLM provider under a zero-retention agreement, a US-hosted database, and an error-monitoring service. The current list lives at buttersync.com/subprocessors and we give 30 days' notice before adding one.
How long we keep it
Campaign and prospect data: 12 months rolling, or the retention window in your contract if it is shorter. Opt-out lists: kept as long as needed to honor them. Telemetry: 24 months. Contact data: until you ask us to delete it, plus whatever tax law makes us keep.
Your rights
Ask and we will export, correct or delete what we hold on you. We acknowledge within one business day and finish within 30 days. If you are in the EEA or UK you also have the right to object and to complain to your local authority. California residents have the CCPA rights; we do not sell personal information, so there is nothing to opt out of.

Security
Encryption in transit and at rest, least-privilege access, SSO on every internal tool, quarterly access reviews, and credentials scoped per client. If we ever have a breach that affects you, you hear from us within 72 hours with what happened and what we are doing.
